About Bedrock

Bedrock Facility Solutions helps companies with multiple locations manage repairs, maintenance, service providers, assets, and facility activity across their properties. Pebble, our facility management platform, keeps work orders, communication, estimates, invoices, response times, and location history organized.

The Role

We are hiring a Facility Services Coordinator to help manage the daily flow of service requests.

A repair request can quickly involve a client, a service provider, an estimate, photos, approvals, scheduling, and several follow ups. Your job is to keep that work organized and make sure everyone knows what is happening next.

You will receive service requests, document the right information, assign approved service providers, track their progress, and communicate with clients until the work is completed. You do not need to be a technician, but you should be comfortable learning basic facility and trade terminology.

This is not just a data entry position. Clients and service providers will rely on you to pay attention, communicate clearly, and follow through.

What You Will Do

Receive service requests through Pebble, phone, and email

Confirm the location, issue, urgency, access instructions, and other important details

Create and update accurate work orders in Pebble

Assign approved service providers based on trade, location, availability, and urgency

Confirm acceptance and estimated arrival times

Keep clients updated from the initial request through completion

Monitor open work orders and follow up when progress stalls

Escalate emergencies, delays, service problems, and approval issues

Coordinate estimates and confirm that required approvals are received before work begins

Collect completion notes, photos, invoices, and other supporting documentation

Help schedule preventive maintenance and recurring services

Work with customer success, billing, and operations to resolve questions

Participate in a rotating evening or weekend coverage schedule when assigned

What We Are Looking For

At least two years of experience in facilities coordination, maintenance dispatch, property management, service operations, customer service, or a similar role

Strong phone, email, and written communication

Good judgment when determining urgency and next steps

The ability to stay organized while managing several open requests

Consistent follow through without needing repeated reminders

Comfort speaking with clients and service providers throughout the day

Experience with a work order system, CMMS, dispatch platform, property management system, or CRM is helpful

Basic familiarity with HVAC, plumbing, electrical, locksmith, janitorial, landscaping, or general maintenance is helpful

Ability to work remotely with reliable internet and a quiet place for client calls

Ability to participate in scheduled after hours coverage

A college degree is not required.

What Matters at Bedrock

Put the client first. Stay calm when something goes wrong. Be honest about delays or problems. Take responsibility and follow through.

This is a full time W2 position. The position is paid hourly and is eligible for overtime in accordance with applicable law.

Bedrock Facility Solutions is an equal opportunity employer. Employment decisions are based on qualifications, performance, and business needs without regard to any characteristic protected by applicable law.
