What the posting says

About JerseySTEM

JerseySTEM is a nonprofit organization dedicated to providing STEM education to underserved communities across New Jersey. We currently serve 27 schools, operate on a July 1–June 30 fiscal year, and receive donations through multiple channels including online platforms and direct contributions. We are a 501(c)(3) and must file an IRS Form 990 annually.

Overview

JerseySTEM is at an exciting inflection point: our programs and donor base are growing, and we’re ready to invest in a proper financial foundation. We’re looking for a Treasurer and Bookkeeper volunteer to build that foundation from the ground up — setting up QuickBooks, establishing a budget process, and ensuring we’re filing on time every year. This is a high-impact, strategic volunteer role for someone who wants to leave a lasting mark on a growing nonprofit.

Responsibilities

Bookkeeping & Accounting

Set up and maintain QuickBooks to establish our accounting foundation and track all income and expenses

Categorize and record all inflows across our donation channels

Categorize and record all outflows: expense reimbursements, vendor invoices, and direct payments

Perform monthly bank reconciliation against the expense log

Coordinate with the Expense Reimbursement Processor (separate volunteer) who processes the actual check runs

Tax Compliance

Coordinate preparation of the annual IRS Form 990 (due November 15th)

File stipend-related 1099 forms

Maintain organized records to support future audits or grant applications

Qualifications

CPA, CMA, or equivalent experience strongly preferred

Nonprofit accounting experience (Form 990, fund accounting) highly desirable

Proficient in QuickBooks (Online or Desktop) or similar accounting software

Familiarity with online donation platforms a plus

Strong attention to detail; comfortable building processes from scratch

Able to commit through at least one full tax filing cycle (through November 2026)Your Impact

Your work is the financial backbone that lets JerseySTEM make and keep commitments to 20+ schools. Clean books, an on-time 990, and a sound budget mean the organization can grow its programs with confidence. That translates directly to more New Jersey students in STEM classrooms.
