About the Client
A fast-growing US mental health practice is building out its people operations function. It is looking for a People Operations Coordinator to support its clinical workforce with onboarding, compliance tracking, and day-to-day HR questions.
The practice has grown to more than 100 employees, most of them licensed clinicians, since telehealth became widely reimbursed by insurers. It is now preparing to expand into several new US states, and each state has its own licensing, credentialing, and insurance rules.
About the Role
You will be the first point of contact for clinicians and staff on PTO, payroll, benefits, and onboarding questions. You will send detailed payroll and benefits issues to the specialist teams that handle them. You will also coordinate clinician onboarding across states, build state-specific onboarding checklists, track compliance steps such as fingerprinting and payer credentialing, and join second-round interviews for senior operations hires. Success means clinicians get fast, clear answers, and each new state opens with an onboarding process that works from day one.
Core Responsibilities
Clinician & Employee Support
Answer HR and operational questions from 100+ clinicians and staff on PTO, payroll, and benefits.
Send complex payroll and benefits issues to the right specialist team and follow up until they are resolved.
Present updates to groups of 30–40 clinicians in virtual meetings.
Help clinicians with scheduling logistics and administrative questions.
Onboarding & Offboarding
Coordinate clinician onboarding across multiple US states with different licensing and credentialing requirements.
Build and maintain state-specific onboarding SOPs and checklists.
Train new hires on internal systems, the EHR platform, and collaboration tools during their first 30 days.
Manage offboarding steps and records for departing clinicians.
Compliance & Credentialing Support
Track state-mandated compliance steps for new hires, such as fingerprinting and live scans.
Support the credentialing team in getting clinicians credentialed with insurance payers state by state.
Keep records in line with HIPAA data handling rules and state mental health regulations.
Recruiting Coordination
Conduct second-round interviews for senior operations and leadership roles.
Explain internal workflows, tools, and team structure to senior candidates.
Systems & Cross-Functional Work
Learn and keep current on the company's internal CRM system and its new EHR platform.
Work daily with the credentialing, revenue cycle, legal, and client coordinator teams.
Requirements
Must-Have
5+ years of professional experience, with recent roles in HR coordination, people operations, or employee support.
Working knowledge of US payroll, PTO, and benefits structures, including handling and escalating employee questions on these topics.
Hands-on use of at least one CRM or project management platform (HubSpot, Zoho, Salesforce, Monday.com, or BambooHR) to track workflows.
Experience coordinating employee onboarding and offboarding, including document and compliance tracking.
Experience presenting updates or running training sessions for groups of 30+ people.
English at C1+ CEFR level.
Stable internet with a backup connection or a backup work location.
Nice-to-Have
Experience in mental health, therapy, or medical practice operations.
Experience with an EHR or practice management platform (SimplePractice, TherapyNotes, or similar).
Exposure to HIPAA, insurance payer credentialing (Aetna, Anthem, Medicaid), or state licensing requirements.
Experience onboarding employees across multiple states, countries, or locations.
Experience with a US HRIS such as Gusto or Rippling.
